Volunteer Assignments & Scheduling
Once volunteer opportunities are published, ministry coordinators can assign volunteers to shifts, and volunteers can manage their schedules.
1. The Assignment Lifecycle
Every volunteer assignment transitions through a clear workflow:
- Assigned: The ministry leader schedules a volunteer for a shift. The volunteer receives an automated notification.
- Confirmed: The volunteer reviews the details and accepts the shift, indicating they will attend.
- Declined: If the volunteer is unavailable, they can decline the shift. This frees up the slot, allowing coordinators to find a replacement.
- Completed: Once the shift is over, the status updates to completed, updating the volunteer’s service history.
2. Smart Matching & Compatibility
To make scheduling easier, the system evaluates compatibility before suggesting helpers:
- Availability Check: Verifies the shift time matches the availability preferences configured on the volunteer’s profile.
- Skills Match: Ensures the volunteer possesses any specialized skills required for the role.
- Conflict Prevention: Warns coordinators if they attempt to schedule a volunteer for overlapping shifts on the same day.
3. Managing Assignments (Permissions)
- For Volunteers: Log in to your profile to view your upcoming service calendar, accept new invitations, or decline shifts.
- For Coordinators & Admins: Go to the Volunteers tab to view shift schedules, assign members to slots, and monitor confirmation rates.
